Role Overview The Bookkeeper & Administrative Finance Coordinator will support the transition of bookkeeping and finance operations in-house across multiple entities. This role will handle Accounts Payable (AP), Accounts Receivable (AR), general bookkeeping, vendor management, digital organization, and operational support, working closely with senior leadership.
Key Responsibilities š Bookkeeping & Financial Operations
⢠Manage day-to-day bookkeeping activities across multiple entities.
⢠Maintain general ledgers and accurately categorize expenses.
⢠Assist with monthly close, financial reporting, tax preparation, and process improvements.
⢠Collaborate cross-functionally with senior leadership.
š³ Accounts Payable (AP)
⢠Manage vendor profiles, W9s, and payment preferences.
⢠Review and process bills across all brands.
⢠Prepare payment runs and track due dates.
⢠Resolve vendor inquiries and discrepancies.
š° Accounts Receivable (AR) (for select brands)
⢠Generate invoices and reconcile AR aging reports.
⢠Monitor and follow up on outstanding payments.
⢠Support integrations with CRM and e-commerce platforms (e.g., HubSpot, Shopify).
šļø Administrative & Operational Support
⢠Maintain organized digital documentation and contracts.
⢠Support internal process onboarding and documentation.
⢠Help build scalable workflows and standard operating procedures (SOPs).
Mandatory Requirements
⢠Minimum 2 years of experience working with U.S.-based companies in accounting or bookkeeping.
⢠Strong hands-on experience with QuickBooks Online, Excel, and Google Sheets (Excel test required).
⢠Advanced English communication skills (written and spoken).
⢠High attention to detail, strong organization, and ability to work independently in a remote environment.
