Role Overview Cothroll Law is looking for a full-time Project Manager who will act as the operational backbone of a large-scale client initiative. This person will be responsible for:
Serving as the central point of contact for client status updates Managing day-to-day communication, documentation, and case tracking Organizing workflows, prioritizing tasks, and maintaining consistent administrative operations
The primary goal is to eliminate administrative interruptions for the attorney while elevating responsiveness, organization, and the overall client experience.
Key Responsibilities Client Communication & Status Ownership
Act as the primary contact for client case status updates Respond to inquiries regarding progress, documentation, and next steps Provide proactive communication to prevent clients from seeking updates Manage high-volume inbound/outbound communication via email and phone Schedule calls and coordinate meetings when needed Set clear expectations regarding timelines and required documentation Maintain a calm, professional, and reassuring communication style
This role fully owns routine client communication so the attorney only steps in when legal judgment is required.
Project & Workflow Management
Oversee timelines for 250+ active client files Track deadlines, submissions, compliance milestones, and deliverables Maintain CRMs, trackers, dashboards, or case management tools Monitor workflows to ensure no case falls behind Identify bottlenecks and escalate appropriately Coordinate internally to support case progress
Clerical & Administrative Operations
Organize and maintain digital client files Manage document intake and verify completeness Review submissions for accuracy before handing off to the attorney Maintain consistent file naming and documentation standards Track missing documents and follow up persistently Log activity and communication updates in the CRM Prepare basic internal summaries or status reports Support reporting for leadership visibility Draft routine and templated client communications Ensure data accuracy across all systems
The purpose of this function is to create structure, reduce chaos, and build a scalable administrative engine inside the firm.
Ideal Candidate Profile Must-Haves
Exceptional written communication skills Highly organized and detail-oriented Ability to manage large client volumes Strong follow‑up discipline Experience with CRMs or case tracking tools Professional, client-facing demeanor Ability to remain calm under pressure
Nice-to-Haves
Experience with tax attorneys, law firms, CPAs, or accounting firms Background as a legal assistant or client intake specialist Experience in high‑volume professional services environments Familiarity with confidentiality standards Experience with project management tools
