Position Summary
IQVIA’s Talent Acquisition organization is evolving rapidly, leveraging advanced analytics and AI‑powered tools to transform how we attract, engage and hire top talent across the life sciences industry. We are seeking a Talent Acquisition Operations Associate to provide high‑impact support to senior leaders while enabling smooth operations across our recruitment team.
This role blends executive support, communications management, and project coordination within a fast‑paced, data‑driven environment. The ideal candidate is highly organized, tech‑forward, proactive, and thrives in a global matrixed organization.
Key Responsibilities
Executive Support
Manage complex calendars and meeting prioritization for senior leaders.
Handle call requests, meeting coordination, and follow‑ups.
Plan and execute logistics for team events, in‑person meetings, offsites, and team‑building activities.
Coordinate travel arrangements, itineraries, and schedule adjustments as needed.
Support All Hands Meetings by managing timelines, organizing presentations, collating slides, preparing survey summaries, and ensuring smooth execution.
Communications Coordination
Review and refine communications, ensuring clarity, alignment, and professionalism.
Manage communication calendars and proactively identify risks to deadlines or milestones.
Facilitate and track approval workflows across key stakeholders.
Coordinate News updates, internal announcements, and cross‑functional communications.
Special Projects & Operational Support
Provide project coordination and organizational support for Operations initiatives within Talent Acquisition.
Assist with planning, tracking, and documentation for Talent Search programs and AI‑driven recruitment initiatives.
Partner with cross‑functional teams, leveraging IQVIA’s data‑centric culture to help streamline processes and ensure alignment.
Support adoption and usage of AI‑enabled tools within the TA team (e.g., assisting with scheduling, communication cadences, documentation, and project workflows).
What You Bring
Bachelor’s degree or a few years’ experience in a recruitment team
Excellent organizational, multitasking, and time‑management skills.
Strong verbal and written communication skills and communication editing abilities with high attention to detail.
Comfort working in a tech‑forward environment and learning new tools quickly (AI‑enabled systems, collaboration platforms, etc.).
Ability to navigate a global, matrixed, data‑driven organization with professionalism and discretion.
Experience supporting senior executives or managing communications workflows.
Salary range PLN: 74,600-138,400
Salary range EUR: 29,500-44,300

The potential base pay range for this role, when annualized, is zł74,600.00 - zł138,400.00. The actual base pay offered may vary based on a number of factors including job-related qualifications such as knowledge, skills, education, and experience; location; and/or schedule (full or part-time). Dependent on the position offered, incentive plans, bonuses, and/or other forms of compensation may be offered, in addition to a range of health and welfare and/or other benefits.
