We are looking for a bilingual, detail-oriented, and proactive Assistant to support the Senior Vice President of our Civil Division. This is a critical administrative leadership role that requires a professional who can manage complex operations, coordinate communications, and serve as a trusted liaison across departments and with external clients. The SVP's office moves fast the right candidate moves with it.
Summary:
Provide comprehensive administrative support to the SVP managing calendar, scheduling meetings, coordinating travel, and prioritizing daily workflow. Prepare and organize project documentation, reports, presentations, and correspondence on behalf of the SVP.
Duties and Responsibilities:
• Serve as the primary liaison between the Civil Division, other FMCC departments, clients, vendors, and external stakeholders.
• Handle confidential and sensitive information with the highest level of discretion and professionalism at all times.
• Screen and manage phone communications, emails, and incoming correspondence exercising independent judgment in prioritizing and responding to routine matters.
• Facilitate bilingual (English/Spanish) communication between SVP leadership and Spanish-speaking field staff, subcontractors, and clients.
• Maintain accurate records, databases, and file management systems ensuring information is organized, current, and accessible.
• Support division-wide administrative initiatives and special projects taking ownership and driving outcomes independently.
• Assist with project tracking and administrative oversight providing regular updates and recommendations to SVP leadership.
• Discretion and independent judgment: The employee regularly exercises discretion and independent judgment with respect to matters of significance — including prioritizing SVP communications, managing administrative operations, resolving operational issues independently, and determining the appropriate handling of confidential and sensitive matters.
• Assist in onboarding and training new team members in administrative procedures and systems.
• Hours may vary according to operational needs.
Job Requirements:
• Bilingual English/Spanish fluent in both written and spoken communication is required, not optional. This role serves a bilingual workforce daily.
• 3–5 years of executive administrative, office management, or operations support experience required.
• Demonstrated ability to exercise independent judgment and discretion in managing administrative and operational matters.
• Proficiency in Microsoft Office Suite Word, Excel, Outlook, and PowerPoint and general business software platforms.
• Outstanding organizational, time management, and multitasking skills able to manage competing priorities in a fast-paced environment without missing deadlines.
• Professional demeanor, strong work ethic, and strict commitment to confidentiality particularly regarding personnel and division-sensitive matters.
• Excellent written and verbal communication skills are able to communicate clearly and professionally with field workers through executive leadership.
• Willingness to learn and master new software systems and technology platforms.
• Construction industry background or familiarity with heavy highway construction operations.
• Prior experience as an executive or senior administrative assistant.
• Knowledge of construction project management processes and terminology.
• Experience with construction-related software or field management systems.
• High school diploma required Associate's or Bachelor's degree preferred.
• Must successfully pass a pre-employment background check and drug screening prior to employment.
Working Conditions:
• Prolonged periods sitting at a desk and working on a computer.
• Finger dexterity for extensive amounts of typing.
• Must be able to lift up to 20 pounds at a time.
• This job requires the ability to see, whether naturally or with vision correction tools (glasses, contacts).
Note: This is an on-site position and requires the ability to work in the office during standard business hours. Remote or hybrid arrangements are not available for this role.
