The Assistant Manager of Records / Property & Evidence supports the Unit Manager in overseeing the daily operations of the Records and Property & Evidence Unit. This role ensures the accurate intake, processing, documentation, storage, and forwarding of all departmental records and property/evidence—both physical and digital—generated or collected by department personnel.

Serving as an Evidence Technician, the Assistant Manager may respond to complex or high-profile scenes requiring advanced evidence documentation, collection, and processing techniques beyond the capabilities of standard field personnel. The position requires close collaboration with internal units and external partners to maintain records accuracy, preserve chain of custody, and uphold strict standards of confidentiality and information security.

The Assistant Manager also supports data reporting and analysis functions and may perform additional public safety–related duties based on credentials and departmental needs.

Key Responsibilities

Unit Operations & Oversight

• Assist the Unit Manager in the daily administration and operations of the Records and Property & Evidence Unit.
• Ensure proper intake, classification, documentation, storage, transfer, and disposition of all records and evidence.
• Maintain accurate records management systems for both physical and digital materials.

Evidence Processing & Field Response

• Serve as an Evidence Technician.
• Respond to complex, voluminous, high-risk, or legally significant scenes, vehicles, or incidents.
• Utilize advanced evidence documentation, collection, and processing techniques exceeding standard field capabilities.
• Ensure proper chain of custody and compliance with legal and departmental standards.

Interdepartmental & External Collaboration

• Work closely with Investigations, Patrol, Administration, and the Clery Manager to ensure records accuracy and evidentiary integrity.
• Collaborate with University departments and external partners as directed by the Unit Manager.

Information Security & Confidentiality

• Safeguard sensitive records, property, and evidentiary materials.
• Maintain strict confidentiality and adhere to all information security protocols.

Data Reporting & Analysis

• Perform data extraction from departmental systems.
• Support statistical reporting requirements.
• Conduct basic trend analysis and identify data gaps or anomalies.

Additional Public Safety Duties

• Perform ancillary public safety responsibilities as assigned, based on qualifications, certifications, and departmental needs.

Education

• High school diploma or GED required.

Experience

• 1–2 years of relevant experience preferred.

Preferred Degree

• Associate’s or Bachelor’s degree in Criminal Justice, Public Administration, or related field preferred.

• Ability to learn and apply complex processes and comply with Federal/State laws and departmental policies.
• Strong organizational, decision-making, and problem-solving skills.
• Effective written and verbal communication skills.
• Proficiency with computers and records management systems.
• Ability to maintain confidentiality and adapt to changing priorities.

Salary: $65,000 Commensurate with experience
