About the Role: Join our team as Assistant Branch Manager, where you will play a crucial role in supporting the Branch Manager. This role will require mailroom operations, warehouse operations, and driving. This position requires a strong understanding of healthcare medical claims, benefits, and policy workflows, along with proficiency in healthcare terminology as it applies to mailroom operations and facilities support duties.
Job Type: Full-time - On Site (Cypress)
Schedule: Monday - Friday 7:30 am – 4:00 pm PST
Pay: $20.00 - $25.00 per hour DOE

Job Duties
Assistant Branch Manager duties:
Open, organize, sort, and research mail and documents.
Use copiers, scanners, mail openers, and labeling equipment.
Set up equipment, load materials, clear jams, and resolve other simple malfunctions as needed.
Serve as backup for Manager, as needed.
Provide guidance, training, and support to team members.
Maintain excellent relationships with all drivers, carriers, clients, etc.
Ensure accurate identification and categorization of mail items.
Oversee the preparation of outgoing mail, including packaging, labeling, and postage.
Develop and implement efficient procedures for sorting incoming and outgoing mail.
Handles any additional responsibility which may be assigned.
Collaborate with other departments to ensure timely and accurate mail processing.
Communicate effectively with team members and serve as a point of contact for escalated issues.
Adhere to all Federal, State, Local, OSHA and Company safety and security regulations and policies.
Ensure the team adheres to all privacy, confidentiality, and company policies.
Implement quality control measures to ensure the accuracy of sorting, preparation and scanning.
Identify process improvement opportunities and recommend system enhancements.
Work to optimize processes and reduce errors.
Ensure all time guidelines are met for pick up and deliveries.
Oversee the maintenance of scanning and prep equipment.
Coordinate with the maintenance team to address any equipment issues promptly.
Ensure team members are trained in the proper use and care of equipment.
Supervision of 3-6 direct reports
Driver duties: (Back-up duties as needed)
Safely operate company vehicles between office, client offices and post offices
Transport documents between office and/or post office
Drive to additional locations as instructed for document pickup/delivery
Maintain accurate delivery records and documentation
Perform basic vehicle maintenance checks and report any issues
Warehouse duties: (Back-up duties as needed)
Unload already processed documents stored in banker boxes and organize on shelves
Remove boxes required for shred
Dump documents into shred bins
Prepare documentation for onsite shredding
Maintain a clean, organized warehouse environment
Operate equipment such as pallet jacks
Use ladders to stack boxes on high shelving
Additional Responsibilities
Maintain Confidentiality: Adhere strictly to confidentiality policies and safeguard sensitive member information.
Escalate Complex Issues: Escalate complex issues to supervisors or managers for further assistance and resolution.
Continuous Learning: Stay updated on changes in health insurance regulations, policies, and procedures.
Contribute to Team Success: Collaborate effectively with team members to achieve shared goals and maintain a positive work environment.
Preferred Experience:
Comprehensive knowledge of healthcare industry practices, including:
Medical claims mail processing procedures
Policy and procedural workflows, creation and design.
People leadership (1-3 years)
Valid driver's license with a clean driving record
Proficient in computer operations, including data entry, screen navigation, and keyboarding
Ability to lift and move items weighing up to 60 pounds
Demonstrated excellence in customer service and client interaction
Strong adherence to daily schedules, tasks, and performance metrics
Ability to multitask effectively while maintaining high attention to detail
Self-motivated, well-organized, and skilled in time management and problem-solving
Capable of working independently and collaboratively within a team environment
Requirements:
High School Diploma or GED required
Valid driver’s license
Minimum of 2 yrs experience in one or more of the following areas in a mailroom/facilities capacity:
Claims examination
Health Insurance
Customer Service or Call Center
Medical office or other healthcare-related fields
Driving experience
Ability to lift and move items weighing up to 60 pounds
Strong attention to detail and organizational skills
Warehouse organization skills
Excellent time management and ability to work independently
Ability to work in a fast-paced environment
Excellent verbal communication skills
Proven experience in customer service related to claims processing, billing, or similar functions
Must successfully pass a criminal background check
