Join Aprio's Corporate Operations team and you will help clients maximize their opportunities. Aprio is a progressive, fast-growing firm looking for a Tax Resource Management Coordinator to join their dynamic team.
As a Tax Resource Management Coordinator at Aprio, you will be pivotal in ensuring optimal resource allocation both onshore and offshore, project delivery, and client satisfaction. You will collaborate with various stakeholders to assess resource needs, optimize resource utilization, and drive strategic workforce planning initiatives.
The Tax Resource Management Coordinator supports day-to-day staffing operations between onshore engagement teams and offshore delivery centers. You’ll balance supply and demand, maintain accurate schedules, and help ensure the right people—with the right skills—are on the right work at the right time.
Position Responsibiltiies:
Demand & Supply Coordination
• Intake, triage, and fulfill resourcing requests from audit/tax/advisory teams; align skills, grade, and availability to engagement needs.
• Maintain current pipelines, capacity views, and weekly staffing rosters for offshore teams; surface gaps, risks, and tradeoffs early.
• Proactively assess staffing risks such as capacity constraints, scheduling conflicts, system adoption delays, or skill mismatches for planned resources.
• Consistently monitor open job needs and scheduled assignments for accuracy, checking in with assigned resources for updates to communicate to stakeholders.
Offshore Delivery Enablement
• Maintain open channels of communication and follow-up proactively to mitigate risk and timely escalate concerns to leadership including strategic solutions.
• Coordinate handoffs and return flows across time zones; confirm readiness (access, data, instructions) and track deliverable status.
• Monitor budget hour adherence (cycle time, rework, throughput) and escalate blockers to Resource Managers/Engagement Leads.
Scheduling & Data Quality
• Create/adjust soft and hard bookings, keep calendars and assignments current, and reconcile schedule vs. actuals each week.
• Champion accurate data entry across the workforce tools stack (resource planning, workflow/project management, time & billing, reporting).
Reporting & Analysis
• Update utilization, bench, overtime, and forecast reports; highlight trends and propose actions to improve balance and leverage.
• Prepare weekly summaries for practice leaders on offshore capacity, fill rates, and upcoming constraints.
Quality, Risk & Compliance
• Help ensure work routing respects independence, confidentiality, and data residency requirements; follow firm SOPs for offshore work, engagement codes, and approvals.
Continuous Improvement
• Collaborate with all stakeholders to capture lessons learned from busy seasons; contribute to playbooks, checklists, and SOP updates for repeatable offshore workflows.
Other
• These responsibilities require strong collaboration, relationship building, and a team first mindset to support effective workforce optimization.
• Performs other related duties, consistent with the scope of the role, as required to support resource management.
Requirements:
• Bachelor’s degree in business administration, Accounting, Human Resources, or a related field preferred. Professional certification (e.g., RMCP, PMP, SHRM-CP) is a plus.
• Minimum of 2 - 4 years of work experience in resource management, data management, engagement staffing, scheduling or workforce planning, preferably within a professional services firm or accounting environment.
• Familiarity with audit/tax/advisory engagement cycles a plus (busy season, review checkpoints, signoffs).
• Strong analytical skills and the ability to interpret data, trends, and workforce metrics.
• Excellent communication, interpersonal, time-management, problem-solving skills and stakeholder management across varied time zones.
• Proficiency in Power BI, resource management tools, and Microsoft Office Suite.
• Strong business acumen and ability to effectively collaborate with diverse personalities and stakeholders across all levels of the organization.
• Ability to thrive in a fast-paced, deadline-driven environment and effectively prioritize competing demands.
