Position Summary:
This is a full-time, non-exempt position. The Applied Math Project Coordinator provides administrative and operational support for a data science and analytics team delivering multiple concurrent technical initiatives. This role is responsible for scheduling meetings, maintaining documentation, tracking timelines, and ensuring follow-through so that work progresses efficiently and stakeholders remain aligned. The position also provides operational information to support technical decision-making and monitors adherence to established workflows, escalating deviations to the team lead as needed. By maintaining clear communication and organized processes, the Applied Math Project Coordinator helps the team stay focused and productive throughout the project lifecycle.
Principal Job Duties and Responsibilities:
Perform all work in compliance with company policy and within the guidelines of BioFire Defense’s Quality System.
Coordinate project logistics across multiple analytical initiatives, including scheduling meetings, managing calendars, and organizing reviews.
Maintain project timelines, milestones, and action-item tracking in collaboration with technical leads.
Prepare and distribute meeting agendas, capture meeting notes, and track follow-ups to completion.
Organize and maintain project documentation, ensuring materials are current, accessible, and appropriately versioned.
Support status reporting by compiling updates, risks, and dependencies for internal and cross-functional stakeholders.
Track dependencies, handoffs, and deliverables to ensure timely project delivery.
Assist with process consistency by applying standard templates, tracking tools, and coordination practices across initiatives.
Principal Decisions:
Prioritizes and schedules coordination activities to support agreed upon project timelines.
Determines appropriate documentation and communication formats based on stakeholder needs.
Training and Education:
Bachelor’s degree in a relevant field (e.g. science, engineering, data, operations, business).
Advanced degrees may be considered in lieu of some professional experience where applicable.
Experience:
At least 2 years' experience in project coordination, operations, administrative, or support role; or equivalent experience gained through advanced academic training, research coordination, or analytical program support.
Experience supporting technical, analytical, or scientific teams is preferred.
Skills:
Strong organizational skills with the ability to manage multiple timelines and priorities simultaneously.
Excellent written and verbal communication skills.
Attention to detail and follow-through to ensure commitments are tracked and completed.
Comfort working with technical professionals and navigating technical discussions at a high level.
Proficiency with common productivity and collaboration tools (Teams, Outlook, etc...).
Ability to work independently while coordinating closely with team leads.
Track and summarize coordination-related metrics (e.g. response time, milestone adherence) to support visibility into project health.
Familiarity with software development; advanced statistical; and/or bioinformatics-related terminology sufficient to follow technical discussions and support coordination.
Preferred Skills
Familiarity with analytics, data science, or software development workflows and tools (Git, Docker, SQL).
Experience in regulated, manufacturing, or R&D environments.
Experience with project tracking or documentation tools (e.g. Jira, Confluence, Asana).
