Outsourcing Advantage is seeking a detail-oriented and organized AIA Requisitions Assistant to join our team. The AIA Requisitions Assistant supports the processing, tracking, and management of AIA (AIA forms (G702, G703) requisitions to ensure timely and accurate submission of financial and procurement documentation. This role is responsible for coordinating requisition information, verifying supporting documents, maintaining accurate records, and assisting with communication between internal teams, vendors, and management.
Responsibilities
Requisition Processing:
• Prepare, review, and submit AIA requisitions AIA forms (G702, G703) and supporting documents for approval.
• Verify accuracy of forms, coding, signatures, and budget allocations.
• Ensure compliance with internal policies and external requirements.
Documentation & Recordkeeping:
• Maintain organized digital and physical records of all requisitions.
• Track requisition statuses through their full lifecycle (submitted, pending, approved, paid).
• Assist with periodic audits and reporting.
Communication & Coordination:
• Serve as a point of contact for internal departments regarding requisition requirements and statuses.
• Communicate with vendors or external partners when clarification or additional documentation is needed.
• Collaborate with finance, procurement, and project management teams to resolve discrepancies.
Administrative Support:
• Assist with generating purchase orders, invoices, and financial summaries as needed.
• Update spreadsheets and internal systems with requisition data.
• Support process improvements and workflow efficiency in the requisition process.
Requirements:
• Strong verbal and written communication skills in English, at least at a level of C1 Advanced.
• 1–2 years of administrative, finance, or procurement experience.
• Strong attention to detail and organizational skills.
• Proficient in Microsoft Office (Excel, Outlook, Word) and basic financial systems.
• Strong communication and customer‑service skills.
• Experience working with AIA forms (G702, G703) or similar requisition formats.
• Knowledge of procurement, accounts payable, or construction billing
