This role provides operational, administrative, and coordination support for India-based programs within a global, sustainability-focused environment. The Advisor plays a key role in ensuring smooth day-to-day operations, strong grants and contracts management, regulatory compliance, and effective collaboration with internal global teams, partners, and vendors.
Reporting to the Project Manager – India Operations, the role works closely with Operations, Finance, Legal, IT, Communications, and Development teams to support compliant and efficient program execution.
Requirements:
Key Responsibilities
Project & Operational Coordination
• Support monitoring of projects and grants to ensure milestones, timelines, and deliverables are met.
• Assist in preparing operational updates, progress reports, and summaries for India and global stakeholders.
• Coordinate logistics for team meetings, workshops, and internal events.
Grants & Contracts Management
• Support preparation, review, and submission of grant proposals, reports, and supporting documentation.
• Coordinate drafting, execution, and record-keeping of contracts and agreements with consultants, partners, and vendors.
• Track active and upcoming grants and contracts, ensuring timely deliverables, invoicing, and payments.
• Identify potential compliance risks and escalate issues to relevant internal teams.
Financial & Vendor Support
• Support reconciliation of vendor and partner accounts and timely processing of invoices and fund requests.
• Ensure accuracy and compliance in procurement, vendor onboarding, expense reimbursements, and related processes.
• Assist with budget tracking and financial documentation in coordination with Finance teams.
Communication & Stakeholder Collaboration
• Maintain effective coordination with global cross-functional teams and external partners in India.
• Draft, edit, and proofread reports, presentations, briefing notes, and correspondence.
• Support consistent communication and knowledge sharing across teams.
Systems, Processes & Documentation
• Assist in developing and documenting SOPs, process templates, and operational guidelines.
• Support improvements to systems, tools, and workflows to enhance efficiency and compliance.
• Provide guidance and onboarding support on operational systems and procedures.
Administrative & Operational Support
• Coordinate onboarding activities with HR, IT, and Procurement to ensure timely system access.
• Manage document organization, version control, and secure information sharing.
• Liaise with vendors and service providers to support office and operational needs.
Additional Contributions
• Support operational infrastructure and compliance frameworks for partner organizations as needed.
• Contribute to initiatives that strengthen collaboration, operational effectiveness, and inclusive workplace practices.
• Perform additional operational and project-related tasks as required.
Qualifications & Experience
Education
• Bachelor’s degree in law, project management, or a related field required.
• Advanced degree or project management certification is an advantage.
Experience
• Minimum 3 years of experience in operations, grants or contract management, or project coordination.
Skills & Competencies
• Strong organizational, coordination, and attention-to-detail skills.
• Knowledge of grants administration, contracts, compliance, and project tracking processes.
• Analytical and problem-solving abilities with sound judgment.
• Excellent written and verbal communication skills.
• Strong interpersonal skills with the ability to work across cultures and functions.
• Proficiency in Microsoft Office tools (Word, Excel, PowerPoint, Teams, SharePoint, NetSuite).
• Familiarity with nonprofit or global operations preferred.
• High standards of confidentiality and professionalism.
• Flexibility to work across time zones and travel up to 10% as required.
