New Brunswick Counseling Center is seeking a part-time Admissions Coordinator who will be responsible for providing a comprehensive range of client-centered services and coordinating intake appointments, providing program overviews to potential clients, maintaining accurate electronic records in accordance with HIPAA regulations, communicating with the multidisciplinary treatment team to assess applicants' suitability for the program, and effectively liaising and coordinating with all relevant parties during the intake and admission process for new clients.
Responsibilities:
Professionally greets individuals, answers phones, and answers clients questions
Liaises between the behavioral health providers and clients to coordinate schedules and create appointments'
Assists with clients check in, verifying client information, obtaining all clinic required signatures and paperwork (e.g., Consents for treatment, HIPAA acknowledgment)
Ensures pre-visit questionnaires are completed and assists clients with these as needed.
Collects co-payments and or deductibles at the time-of-service for telehealth preauthorization requirements, etc., to ensure expeditious billing.
Manages cancellations, finding best alternatives for all involved
Recalls clients who missed prior day’s appointments to attempt to re-schedule their visits
Collaborates with all departments to communicate effectively regarding client flow, anticipating backlogs and proactively
Participates in staff meetings
Participate in all required NBCC-BCC Pilot Program meetings.
Admissions Coordinator will be the first point of contact for prospective clients and their families
Interview potential participants and their support team to determine eligibility and coordinate intake appointments and give program overviews to prospective clients
Communicate with multidisciplinary treatment team regarding applicants and participate in determining fit for the Program
Liaison and coordinates effectively with all pertinent parties/entity throughout the intake and admission process for all new clients
All other duties as requested or assigned
Qualifications
•Customer service experience required
•1+ year experience/training in a healthcare setting required
Requirements:
Working knowledge of Adobe, Word, and Excel
Detail-oriented, punctual, and efficient, as well as empathetic and personable
Must have the ability to work independently or with a team
Fluency in Spanish is preferred.
Computer literate in Word, Excel, and PowerPoint
Able to commute to New Brunswick, NJ
Excellent communication & organizational skills
Excellent telephone skills and professionalism

Schedule: Mon-Fri 12:00 p.m. to 4:00 p.m. (afternoon shift).
Part-time 20-22 hrs. per week
