Overview
As an Admissions & Onboarding Specialist, you will be responsible for the critical first stages of the learner journey across our apprenticeship programmes. You will ensure that every learner's entry into Decoded is efficient, inclusive, and fully compliant with DfE funding rules.
The role focuses on executing the practical elements of recruitment and enrolment, from conducting initial assessments to ensuring all documentation is accurate and audit-ready. You will work closely with the wider Learner Journey team to proactively resolve any barriers that could prevent an apprentice from successfully starting their programme.
Accountabilities
As an Admissions & Onboarding Specialist at Decoded, you are accountable for:
• Executing the admissions and onboarding processes with a focus on efficiency, inclusivity, and compliance with DfE funding rules
• Ensuring all learner documentation and data entry is 100% accurate and ready for audit.
• Conducting rigorous eligibility checks and initial assessments to ensure learners are on the right programme.
• Providing a high-quality initial experience for learners, fostering a supportive environment from day one.
• Supporting continuous quality improvement by identifying and resolving issues that hinder the enrollment timeline.
Specific Role & Responsibilities
Admissions & Onboarding
• Manage the end-to-end admissions process to ensure timely enrolments that meet business targets.
• Oversee and conduct initial assessments, eligibility checks, and learner inductions.
• Identify and resolve any issues or barriers that could prevent an apprentice from starting their programme.
• Ensure all data entry into learner management systems is accurate and compliant with DfE funding rules.
• Stay informed of national and sector trends in apprenticeship recruitment to support the broader team strategy.
Compliance & Quality
• Maintain learner-related processes that are fully compliant with DfE funding rules, Ofsted standards, and awarding body requirements.
• Support the preparation for external audits and contribute to the internal continuous quality improvement (CQI) process.
• Provide regular data and reports on admissions and enrollment metrics to the leadership team.
Learner Engagement
• Champion inclusion and accessibility throughout the onboarding phase, embedding best practices in initial learner support.
• Work collaboratively with the Learner Services and Retention teams to ensure a seamless transition from enrolment to active learning.
