ATI has a current need for a full-time Administrative Support Specialist. The Administrative Support Specialist will provide comprehensive administrative and operational support to building systems work groups, with primary focus on Building Automated System (BAS) and Heating, Ventilation, and Air Conditioning (HVAC) operations. Serves as administrative coordinator for scheduling, contract support, and liaison activities with Department entities and overseas posts.

Competitive salary of $70,000 - $110,000/year depending on experience;

Duties and Responsibilities
Duties may include, but not be limited to, the following:
Administrative Coordination (25%)
Manages schedules and coordinates activities for work group personnel
Arranges meetings, site visits, inspections, and other operational activities
Coordinates logistics across multiple locations and time zones
Supports administrative requirements for building systems operations
Contract and Procurement Support (20%)
Assists with contract administration, documentation, and tracking
Monitors Period of Performance (POP)
Tracks available budgets
Assists with funding requests
Monitors contract deliverables, milestones, and deadlines
Maintains contract files and supports compliance activities
Coordinates with contracting personnel and service providers
Processes administrative documentation related to contract performance
Electronic Country Clearance (ECC) Support (15%)
Collects required data and documentation for Electronic Country Clearance submissions
Prepares and submits ECC requests to overseas posts for staff travel
Tracks ECC status and ensures timely approvals
Travel Administration (15%)
Coordinates travel arrangements for personnel including transportation and accommodations
Tracks travel authorizations, itineraries, and related documentation
Maintains travel records and supports compliance with Department regulations
Processes travel-related administrative requirements
Coordinates ECC submissions with travel planning
Liaison and Coordination (10%)
Serves as administrative point of contact with Department bureaus and offices
Coordinates with overseas posts on administrative and logistical matters
Facilitates information sharing and communication between entities
Supports inter-departmental coordination activities
Office Management (10%)
Processes correspondence, reports, and operational documentation
Maintains organized filing and record-keeping systems
Handles communications and directs inquiries to appropriate personnel
Supports general office operations and administrative needs
Preventative Maintenance Service Contract (PMSC) Support (5%)
Provides administrative assistance for Preventative Maintenance Service Contract activities
Tracks preventative maintenance schedules and completion
Supports information flow between work groups and Department entities
Assists with PMSC-related administrative requirements
Required Qualifications and Experience
Minimum 10 years of administrative support experience
Minimum 5 years of industry experience (ability to understand and support engineers and technicians)
Candidates must be US Citizens
Must be eligible to obtain and maintain clearance; Candidate must be able to work independently in a secure or sensitive environment
Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Strong operational knowledge of DOS programs including: GFMS, BMIS, ECC portal, GMMS, GBI, IPP, ABR, Kahua, MyData, ROBO, and ILMS
Experience supporting technical or facilities management operations preferred
Familiarity with federal government administrative procedures preferred
Knowledge of Department of State operations, protocols, and computer systems preferred
Experience with contract administration or support preferred
Ability to work independently with minimal supervision
Strong organizational and time management skills
Excellent written and verbal communication abilities
Ability to handle multiple priorities and meet deadlines
Experience with scheduling, travel coordination, and office management
Professional demeanor and ability to interact with all organizational levels
Flexibility to support various operational requirements as needed
Attention to detail and commitment to accuracy
Job Type: Full-time
Pay Range: $70,000 - $110,000/year depending on experience
Location: Remote – Candidates must be located within the contiguous United States
Working Hours: Normal Work Hours – Monday – Friday (anticipate 40 per week).
