Position Summary
The Administrative Support role at C&L Ward is a critical part of the Client Care Department, providing essential coordination between internal teams and external agencies to ensure smooth project execution. This position is primarily responsible for managing building permit application processes, scheduling required inspections, registering product warranties, and organizing job documentation. While this role does not involve preparing site plans, material lists, or work orders, it does support project compliance and administrative efficiency across departments. Additional clerical and administrative duties may be assigned as needed to assist the department and support field operations.
Key Responsibilities
Permit Coordination & Inspection Scheduling
Complete and submit building permit applications accurately to local municipalities.
Track and follow up on permit status, ensuring all regulatory requirements are met.
Schedule municipal inspections including post-hole, rough frame, and final inspections.
Maintain clear, organized records of permits, inspection confirmations, and communications.
Warranty Registration & Documentation
Register manufacturer and product warranties after project completion.
Store and manage warranty documents and related records in an organized, accessible format.
Project Documentation & Support
Upload, file, and maintain all required documentation in the CRM system.
Collect and verify completed job paperwork, including completion forms and service records.
Communication & Coordination
Work with Project Coordinators and Installation Managers to ensure accurate job tracking and documentation.
Communicate inspection schedules and project updates to internal field teams.
Assist with processing subcontractor labor bills and organizing associated field documentation.
General Administrative Support
Perform additional administrative and clerical tasks as assigned, including data entry, internal correspondence, and document preparation.
Required Skills & Qualifications
High school diploma or equivalent.
Strong attention to detail and organizational skills.
Effective communication skills, both written and verbal.
Ability to manage time and priorities in a fast-paced, team-oriented environment.
Comfortable using CRM and project tracking systems (training provided).
Preferred Qualifications
Experience in administrative support, permitting, construction administration, or similar roles.
Familiarity with municipal permitting processes and inspection scheduling.
Understanding of field labor tracking and basic billing documentation.
