Bitcoin Depot is seeking an Administrative Support Contractor who will provide essential on-site support by managing the high-volume intake and digitization of corporate correspondence. As we continue to scale as a public company, this role is critical in ensuring that legal, tax, and operational notices are identified and routed to the correct departments with zero lag time. The ideal candidate is a detail-oriented professional who thrives in a fast-paced environment and understands the importance of maintaining strict confidentiality and meeting tight compliance deadlines.
This role is onsite at our Sandy Springs office.
Bitcoin Depot is the largest Bitcoin ATM Network in the world, offering users the ability to buy and sell Bitcoin at thousands of BTM and BDCheckout locations. We currently trade on the NASDAQ under the ticker symbol BTM.
Responsibilities
• Sort and process approximately 500+ pieces of physical mail weekly, ensuring all items are opened, flattened, and prepared for high-speed scanning.
• Scan all incoming correspondence to a central shared drive with high accuracy, ensuring digital copies are clear and legible.
• Review and categorize mail items (e.g., IRS notices, legal inquiries, payroll documents) to ensure they are placed in the correct departmental folders for owner review.
• Identify and escalate time-sensitive documents—specifically legal summons or tax notices with short response windows (5 days or less)—to the HR and Legal teams immediately.
• Maintain an organized physical filing system for items requiring temporary retention and manage the secure shredding of processed documents in accordance with company policy.
• Post weekly updates to internal Slack channels to notify "folder owners" when new batches of mail are ready for their review and organization.
Qualifications
• 1–2 years of experience in administrative support, mailroom operations, or document management, preferably within a legal, financial, or corporate HR environment.
• Proficiency with high-volume document scanners and cloud-based storage solutions (Google Drive, Dropbox, or OneDrive). Familiarity with Slack is a plus.
• Proven ability to handle large volumes of paperwork while maintaining high accuracy in filing and naming conventions.
• Must demonstrate a high level of integrity and the ability to handle sensitive, confidential, and "Internal Use Only" information.
• Ability to maintain a consistent daily on-site schedule (2–3 hours per day) at our Sandy Springs, GA office.
• Strong verbal and written communication skills to effectively coordinate with the HR and Legal departments.
