We're looking for a detail-oriented and organized Administrative Officer to join our team in Dubai, United Arab Emirates. As an Administrative Officer, you will be the backbone of our office operations, providing essential support to ensure smooth day-to-day functioning of our organization. This role requires a UAE National who is committed to maintaining professional standards and supporting our team with efficiency and dedication.
• Manage office operations, including scheduling meetings, coordinating calendars, and organizing office resources
• Prepare, organize, and maintain administrative documents, records, and files using established filing systems and digital databases
• Handle incoming and outgoing correspondence, including emails, phone calls, and written communications
• Perform data entry tasks and maintain accurate records in company databases and management systems
• Provide administrative support to various departments and senior management as needed
• Coordinate office supplies inventory and place orders to ensure adequate stock levels
• Assist with onboarding processes for new employees and maintain personnel records
• Prepare reports, presentations, and other documents using Microsoft Office Suite applications
• Manage office equipment maintenance and coordinate with vendors for repairs and servicing
• Support the organization of meetings, conferences, and corporate events
• Ensure compliance with company policies and procedures in all administrative functions
• Maintain confidentiality and handle sensitive information with professionalism
**Required Qualifications:**
• UAE National status
• Proven experience in administrative support or office management roles
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Strong organizational and time management skills
• Excellent written and verbal communication skills in English
• Attention to detail and accuracy in data entry and document preparation
• Ability to multitask and prioritize responsibilities effectively
• Professional demeanor and interpersonal skills
• Experience with document management and filing systems
• Ability to work independently and as part of a team
**Preferred Qualifications:**
• Experience with enterprise resource planning (ERP) systems or similar business software
• Knowledge of UAE labor laws and employment regulations
• Bilingual proficiency in Arabic and English
• Previous experience in a corporate or multinational organization
• Experience with records management and information governance
• Familiarity with office management tools and scheduling software
• Customer service experience in a professional setting
