Primary objective
To provide administrative support to the Sexual Health and Blood Borne Virus Unit (SHBBVU) team
Key duties and responsibilities
1. Provide personal assistant duties to SHBBV NCC Operational Manager and SHBBVU Section Head and including travel
arrangements, internal and external document preparation (taking meeting minutes, preparing memo’s etc.) and schedule
coordination.
2. Provide administrative support for SHBBV Program team, including Information Technology support, travel bookings and
any other admin tasks as required.
3. Purchase office supplies using corporate financial systems including NTGPay
4. Organise, plan and coordinate SHBBV staff meetings, annual planning day and educational sessions, including face-to-
face meetings, video conferencing and teleconferences. This includes obtaining quotes, booking of function rooms,
catering and technical equipment.
5. Assist Clinic 34 Darwin administrative/reception staff in relation backfill when required.
6. Provide support to the CDC team including administrative support and CDC Telephone Roster in liaison with NCC SHBBV
Operational Manager.
7. Follow defined service quality standards, work health and safety policies and procedures relating to the work being
undertaken to ensure high quality, safe services and workplaces.
Selection criteria
Essential
1. Demonstrated extensive experience in providing a high level of administrative tasks and working knowledge of general
office procedures including corporate systems, and financial processes.
2. Demonstrated advanced computer literacy particularly use of the Microsoft Office Suite and other databases.
3. Demonstrated ability to work independently without supervision and use initiative and judgement to prioritise and meet
deadlines.
4. Demonstrated high level written and verbal communication skills and commitment to confidentiality.
5. Experience in assistance with the preparation of correspondence including formatting memos and reports.
6. Demonstrated experience in preparing and organisation of comprehensive travel and meeting itineraries including
experience with minute taking.
7. An ability to interact effectively with people from diverse cultures.
