About the Opportunity
The Administrative Coordinator provides essential administrative support across Human Resources and Finance functions. This role ensures the smooth execution of routine financial processes, supports employee lifecycle administration, and maintains organized office operations. The position requires strong attention to detail, discretion, and the ability to manage recurring tasks efficiently.
This role is initially for a part-time position with the potential to move to full-time.
Key Responsibilities
Assist with the administration of standard monthly payments and vendor setup processes
Prepare and process Electronic Funds Transfer (EFT) documentation for approval
Coordinate and prepare EFT payments for recurring monthly invoices
Verify invoice approvals and follow up where required
Track corporate credit card transactions and assist with monthly reconciliations
Maintain organized financial records and documentation
Assist with employee benefits enrolment and related documentation
Support onboarding processes, including preparation and collection of required paperwork
Maintain onboarding and probation tracking calendars for managers
Coordinate reminders for benefits and pension enrolment deadlines
Track office and kitchen supply inventory and prepare order lists
Support general office organization and tidiness
Maintain organizational calendars, including holidays and office closures
Provide general administrative support as required
Qualifications & Skills
Post-secondary education in Business Administration, HR, Finance, or related field preferred
1–3 years of administrative experience (full-time role)
Strong organizational and time management skills
High attention to detail and accuracy
Ability to manage confidential and sensitive information
Strong written and verbal communication skills
Proficiency in Microsoft Office (Excel, Word, Outlook)
CRM Experience a bonus
Experience with:
Invoice processing and basic accounting procedures
Data tracking and reconciliation support
HR administrative processes (onboarding, benefits)
Comfort working with financial data and spreadsheets
