The Role
We are seeking a high-energy, detail-obsessed Administrative Assistant to join our growing tech team. This is a foundational role designed for a sharp recent graduate or a professional with 1 year of corporate or government-level business experience. Mandatory: This role is hybrid, with no exceptions to being in the office 3 days a week.
You will serve as a key departmental liaison, working closely with the CEO and Business Manager to ensure our internal operations are as innovative as our tech. If you are a "super-researcher" who loves finding the needle in the haystack and can pivot from managing calendars to mastering new AI tools in the same hour, we want to meet you.
Key Responsibilities
Executive Support: Manage complex calendars, coordinate high-priority appointments, and ensure the CEO and Business Manager are prepared for all daily engagements.
Deep-Dive Research: Conduct thorough market, competitor, and logistical research, distilling complex information into actionable briefs.
Digital Presence: Assist with social media coordination and engagement to maintain a consistent brand voice.
Operations & Vendor Management: Act as the primary point of contact for external vendors, negotiating needs and maintaining professional long-term relationships along with executive management.
Tech Integration: Utilize and explore AI productivity tools to automate workflows and increase administrative efficiency with our developer.
Administrative Rigor: Handle high-level organization tasks with an uncompromising eye for detail.
Qualifications
Experience: College Senior/Recent graduate or 1 year of experience in a corporate or government business environment.
The "Deep Researcher" Mindset: Proven ability to find and verify information across various platforms.
Digital Fluency: Strong familiarity with social media platforms and a proactive interest in AI-driven tools (LLMs, automation, etc.).
Office Productivity: Must be highly proficient in Microsoft Office Productivity tools within MS Word, Excel, and PowerPoint.
Project Coordination: Exceptional ability to multitask and manage competing deadlines without losing accuracy.
Communication: Polished written and verbal communication skills suitable for executive-level interaction.
Bonus Points For:
Familiarity with Accounting Systems (QuickBooks, Xero, etc.).
Foundational understanding of HR processes and compliance.
