Administrative Assistant responsibilities include, but are not limited to, the following:
 
• Project set up in an online Project Management System (PMS)
• Project coordination (including the collecting of financial documentation, processing purchase orders, answer email correspondence, phone correspondence, closing/suspending projects, placing projects on hold, adding new reports to project folders)
• Issue Follow Up Services quotes to customers
• Monthly Billing for Fees (including the issuance of PO letters)
• Maintain the Follow Up Services Database (including updating client information, licensing fees, E file numbers and Inspections information)
• Processing updates for Major NCRs (includes updating PMS, Database, Billing and OSHA Forms)
• Send notifications via email for reduced and added Inspections due to Major NCRs/Collect additional Payments/Closing emails for On Hold projects
• Assist AR department with the collection of past due payables
• Additional Administrative duties as requested
Minimum Educational Qualifications:
• High school diploma or GED
Basic Minimum Qualifications:
• Minimum 1 year of experience
• Proficiency in Microsoft Office (Word, Excel, Outlook)
• Strong communication skills
• Essential skills involve organization, time management, and basic clerical abilities
• Authorization to work in the United States indefinitely without restriction or sponsorship
Position is full-time 6-month contract, working Monday - Friday 8:00 am - 5:00 pm, with overtime as needed. Candidates currently living within a commutable distance of Plano, TX are encouraged to apply.
