Administrative Assistant (Part-Time / Contract)
Location: Geotechnical Bureau – Administrative Support Staff (OMAT)
Schedule: Part-Time (approx. 24 hours/week)
Duration: 6 months to 1 year (with potential for extension)
Overview
We are seeking a detail-oriented and reliable Administrative Assistant to support the Geotechnical Bureau’s Administrative Support Staff. This role is critical in ensuring accurate documentation, efficient coordination, and overall administrative support for program operations.
This position requires strong organizational skills, attention to detail, and the ability to handle multiple priorities in a structured environment.
Work Schedule & Flexibility
Candidate must be onsite at OMAT for the full 24 hours/week during initial training
Training period: approximately 1–2 months
After training and 90 days of employment, candidate may be eligible to work remotely 1 day per week
Key Responsibilities
Perform advanced clerical and administrative tasks, including coordinating meetings/events and reviewing technical documentation
Gather, organize, and compile information into accurate reports and final document packages
Develop, maintain, and organize filing systems (electronic and physical)
Process and verify data with a high level of accuracy
Prepare professional business correspondence using proper grammar and formatting
Interpret and apply policies, procedures, and instructions to support operations
Communicate effectively with internal teams, leadership, and external stakeholders
Provide high-quality customer service and administrative support
Perform basic calculations and assist with data tracking/reporting
Utilize Microsoft Office tools (Word, Excel, Outlook) for daily tasks
Exercise independent judgment to prioritize tasks and follow appropriate processes
Qualifications
Education/Experience:
Associate’s degree OR
Minimum of 2 years of related administrative experience
Required Skills & Competencies:
Strong attention to detail and organizational skills
Experience handling data entry, document review, and reporting
Ability to manage multiple tasks and meet deadlines
Strong written and verbal communication skills
Proficiency in Microsoft Word, Excel, and Outlook
Ability to work independently and follow established procedures
High level of professionalism, accountability, and ethical conduct
Employment Terms
Part-time (24 hours/week)
Contract role (6–12 months, with possible extension)
Onsite requirement with limited remote flexibility after onboarding period
