The Administrative Assistant serves as the operational backbone in our office, ensuring daily activities run smoothly through meticulous organization and proactive support. The core responsibilities include being the first point of contact for incoming phone calls and visitors, overseeing office supply inventory, invoice processing, expense tracking, posting bills to pay and payments from customers, and other basic bookkeeping functions to keep the company’s records current and organized.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Answer incoming phone calls and direct to proper people or departments
Welcome visitors to the office and ensure a friendly, personal experience
Assist day-to-day office activities as a point of contact in reception area
Prepare and send customer invoices, receive/record payments, and send out surveys
Record vendors bills and record payments in Acumatica, including credit card transactions
Prepare and make bank deposits
Assist in ensuring office efficiency by maintaining common areas, handling correspondence, maintaining file systems, supplies, and mailing/shipping packages
Assist with planning activities, meetings, events, and booking travel
Demonstrate general knowledge of our garage door products, including their features, benefits, and specifications to effectively respond to phone inquiries and walk-ins
QUALIFICATIONS
Ambitious, inquisitive, helpful, and humble, with a positive attitude
Demonstrated ability to establish and maintain strong relationships with customers and provide exceptional customer service
Ability to work independently, manage multiple tasks simultaneously, with acute attention to detail
Excellent verbal and written communications skills
Proficient in various computer software applications, including Microsoft Word, Excel, and Outlook
Two years of administrative or bookkeeping experience, preferred
