Administrative Assistant I Position Overview
We are seeking a highly organized and dependable Administrative Assistant I to support the operational needs of our Intensive Supervision Programs. This role is critical to ensure that all administrative functions run smoothly and in compliance with state, local, and agency regulations. The ideal candidate must have excellent interpersonal skills, be detail-oriented, discreet, and able to manage sensitive information in a fast-paced environment.
Key Responsibilities
Oversee the day-to-day administrative operations of the office
Maintain accurate client records and confidential documentation following legal standards
Support counselors and supervisors with clerical tasks, data entry, and coordination
Process and track referrals, program enrollments, court reports, and compliance documents
Manage communications between the office and external agencies, including courts, law enforcement, and service providers
Maintain office supplies, equipment, and facility needs
Assist with reporting and audit documentation
Ensure adherence to confidentiality protocols, HIPAA standards (if applicable), and agency policies
Qualifications
Minimum 3 years of administrative or office management experience, preferably in a criminal justice, behavioral health, and human services setting
Excellent writing, organizational, communication, and time-management skills
Ability to manage confidential information with discretion and professionalism
Proficiency in Microsoft Office Suite and case management systems
Strong attention to detail and accuracy in documentation and data entry
Experience working in a regulated or compliance-focused environment
Preferred Qualifications
Able to provide administrative and secretarial support to the program's Director
Knowledge of state and local guidelines or community corrections policies
Required to be an experienced collaborator and trained cross-functional communicator
Associate's degree preferred or Office Management Administration, Business Administration, Public Administration, or related field
