Administrative Assistant for Refrigeration Monitoring

We are looking for an Administrative Assistant for Refrigeration Monitoring who will support the operations and maintenance of refrigeration systems by managing administrative tasks, monitoring system performance, and ensuring proper documentation and compliance. This role is essential for coordinating between technical teams, vendors, and management to ensure the smooth operation of refrigeration systems.

Key Responsibilities:

• Monitoring and Reporting:
• Monitor refrigeration systems for performance issues and notify the appropriate personnel for troubleshooting.
• Generate reports on system performance, maintenance schedules, and incidents.

• Administrative Support:
• Maintain records of maintenance, repairs, and inspections.
• Coordinate schedules for routine maintenance and emergency repairs with technicians and vendors.

• Communication and Coordination:
• Act as the point of contact between refrigeration technicians, facility managers, and external vendors.
• Communicate system alerts or malfunctions promptly to relevant teams.

• Documentation and Compliance:
• Ensure all refrigeration logs, compliance records, and safety certifications are updated and filed appropriately.
• Assist with audits and regulatory compliance documentation.

• Inventory and Supplies Management:
• Track and manage inventory related to refrigeration, such as spare parts and refrigerant supplies.
• Order necessary materials and maintain an organized supply system.

• General Administrative Tasks:
• Answer calls, handle correspondence, and manage data entry for refrigeration-related operations.
• Support budgeting and cost-tracking for refrigeration maintenance and repairs.

Requirements:
• Experience in an administrative or support role, preferably in a technical or facilities management environment.
• Familiarity with refrigeration systems or facility operations is an advantage
• Tech Savvy
• Familiar in Web based programs
• Proficiency in Microsoft Office Suite and other administrative tools.
• Excellent communication and problem-solving skills.
• Knowledge of refrigeration monitoring software or related technologies.
• Understanding of safety and compliance requirements for refrigeration systems.
