At Blount Rural Health Center, our goal is to provide the highest quality of care to our patients. The Administrative Assistant is a vital part of the team; we are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. The duties of the Administrative Assistant include providing support to our managers and employees, assisting with daily office needs, and managing our company’s general administrative activities. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment.
Job Duties:
Answer and direct phone calls.
Organize and schedule appointments/planning and scheduling events.
Plan meetings and take detailed minutes/Board Meeting preparation, securing meals, preparing packets, and emailing to BOD.
Write and distribute email, correspondence memos, letters, faxes, and forms.
Assist in the preparation of regularly scheduled reports.
Develop and maintain a filing system/clerical and organizational tasks.
Update and maintain office policies and procedures.
Order office supplies and research new deals and suppliers.
HIPAA Manual and Security Analysis
Book travel arrangements.
Submit and reconcile expense reports.
Provide general support to visitors.
Act as the point of contact for internal and external clients.
Securing staff meals for Staff Meetings.
Accounts Payable/QuickBooks entries
Securing contracts and MOA
Assist with Marketing
Handling other administrative requests and queries
Qualifications:
Highly detailed oriented
Foresight to find tasks that need to be completed within the clinic without being instructed
Digital literacy and research skills, including the ability to analyze the reliability of information
Familiarity with standard office platforms, such as Microsoft Office and QuickBooks
Time management, multitasking, and flexibility
Interpersonal skills, professional and courteous demeanor, excellent office and phone etiquette, and the ability to diffuse tense situations
Ability to work well under pressure and navigate multiple deadlines
Proactive approach to problem-solving and process improvement
Ability to work well independently and in collaboration with others
Physical Requirements:
Must be able to bend, squat, and reach on a regular basis.
Must be able to lift approximately 50 pounds, occasionally.
