Adjoint(e) Administratif(ve) - Sur site : (9300 Route Transcanadienne, St-Laurent, QC, H4S 1K5)

L’Adjoint(e) Administratif(ve) joue un rôle essentiel dans le soutien des opérations de l’entreprise et contribue à sa croissance en gérant des tâches administratives clés et en assurant le bon fonctionnement des activités de bureau. Ce poste implique la planification et l’organisation des calendriers, la gestion de la correspondance, l’approvisionnement en fournitures et l’assistance aux initiatives et événements d’entreprise.

Responsabilités

Soutien Administratif

Organiser et maintenir les calendriers en priorisant activement les réunions et tâches à fort impact.

Maintenir une liste de tâches classées par priorité, en les révisant et en les mettant régulièrement à jour.

Organiser les informations de travail pour garantir leur exactitude et leur exhaustivité.

Planifier et coordonner les déplacements, y compris les itinéraires détaillés, et fournir un soutien pour les modifications de dernière minute.

Opérations de Bureau

Participer à divers projets et initiatives en cours, tels que la mise à jour et la maintenance de bases de données et autres tâches de gestion de projet.

Aider à la réservation de billets d’avion et à l’organisation des déplacements pour les membres de l’équipe.

Organiser des réunions d’entreprise importantes, sur place ou à l’extérieur, selon les besoins.

Gérer les opérations générales du bureau, y compris les commandes de fournitures, la coordination des services de traiteur et la communication avec les fournisseurs (par exemple, la réparation d’imprimantes).

Événements Spéciaux

Organiser et coordonner des événements spéciaux tels que des assemblées générales et des séminaires de formation.

Autres Responsabilités

Qualifications

Minimum de 5 ans d’expérience pertinente en tant qu’adjoint(e) administratif(ve).

Minimum de 3 ans d’expérience pertinente en planification et analyse financière (FP&A).

Parfaitement bilingue en anglais et en français.

Solide expérience avec Outlook et Microsoft Office.

Maîtrise avancée d’Excel (par exemple, tableaux croisés dynamiques, recherche V, macros).

Excellentes compétences analytiques et en résolution de problèmes.

Gestion exceptionnelle du temps, compétences organisationnelles et en communication.

Excellentes compétences rédactionnelles et orales en anglais et en français.

Esprit d’équipe motivé(e) et faisant preuve d’initiative.

Administrative Assistant - On-site: (9300 Trans Canada Route, St-Laurent, QC, H4S 1K5)

The Administrative Assistant plays a vital role in supporting the company’s operations and growth by managing key administrative tasks and ensuring the smooth running of office activities. This role involves scheduling and organizing calendars, handling correspondence, managing supplies, and assisting with company-wide initiatives and events. 

Responsibilities

Administrative Support

Organize and maintain calendars, actively prioritizing high-impact meetings and tasks.

Maintain a list of action items segmented by priority, regularly reviewing and updating as needed.

Organize work information to ensure accuracy and completeness.

Arrange and coordinate travel plans, including detailed itineraries, and provide support for last-minute updates.

Office Operations

Assist with various ongoing projects and initiatives, such as updating and maintaining databases and other project management tasks.

Assist in booking flights and travel arrangements for team members.

Organize larger company meetings, both in-office and off-site, as required.

Manage general office operations, including ordering supplies, coordinating catering, and handling vendor communications (e.g., arranging for printer repairs).

 

Special Events

Organize and coordinate special events such as town halls and training seminars.

Other Responsibilities

Ensure confidentiality of sensitive information and demonstrate professionalism in handling sensitive issues.

Perform other duties and tasks as required.

Qualifications

Minimum 5 years of relevant experience as an administrative assistant.

Minimum of 3 years of relevant experience in financial planning and analysis (FP&A).

Fully bilingual in English and French.

Strong experience with Outlook and Microsoft Office.

Expert-level Excel skills (e.g., PivotTables, VLOOKUP, Macros).

Excellent analytical and problem-solving skills.

Exceptional time management, communication, and organizational skills.

Excellent written and verbal communication skills in English and French.

Motivated team player who takes initiative.
