Dans ce rôle, tu seras rattaché(e) à l’adjointe exécutive et agira en tant que soutien clé aux équipes des opérations. Tu veilleras à la coordination efficace des activités administratives, à la planification des rencontres et à la bonne circulation de l’information entre les différents services. Tu joueras également un rôle de premier plan dans la logistique d’événements internes et le soutien organisationnel global, tout en prenant en charge toute autre tâche connexe visant à appuyer efficacement les besoins opérationnels.

 

Principales responsabilités

Assurer un soutien logistique et administratif aux équipes des opérations : planification des rencontres, rédaction de comptes rendus et suivi des actions.

Gérer les agendas et les priorités de manière proactive, en collaboration avec les gestionnaires et l’adjointe exécutive.

Participer à la planification logistique d’événements (rencontres d’équipe, rencontres trimestrielles, réunions départementales, événements corporatifs, etc.), incluant les invitations, réservations, fournisseurs et matériel.

Coordonner les déplacements liés aux événements ou réunions externes (hébergements, vols, transport, etc.), tout en veillant à l’efficacité et au respect des politiques internes.

Effectuer les tâches administratives avec rigueur, précision et un haut niveau de confidentialité, notamment dans la préparation, le traitement et la transmission de documents internes.

Contribuer à l’amélioration continue des processus et proposer des solutions concrètes pour optimiser l’efficacité.

Profil recherché

Diplôme d’études collégiales (DEC) en bureautique, administration ou domaine connexe.

Minimum de 5 ans d’expérience pertinente en soutien administratif, idéalement dans le secteur de l’assurance ou un environnement à haut volume d’activité.

Bilinguisme essentiel (français et anglais, à l’oral et à l’écrit) afin de soutenir les opérations à travers le Canada.

Permis de conduire requis pour des déplacements occasionnels entre nos différents bureaux, principalement au bureau de Terrebonne.

Excellente maîtrise de la suite Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams) et de SharePoint.

Sens marqué de l’organisation, rigueur et capacité à gérer plusieurs priorités simultanément.

Discrétion, jugement et souci du détail exemplaire.

Attitude professionnelle, autonomie et entregent.

Aisance à travailler sous pression et à collaborer dans un environnement à haut volume d’activités.

If you’re looking to play an active role in reshaping the commercial insurance sector within a fast-growing company, we’re looking for an Administrative Assistant to join our team.

 

In this role, you will report to the Executive Assistant and act as a key support to the Operations teams. You’ll ensure the efficient coordination of administrative activities, meeting planning, and smooth information flow across departments. You will also play a leading role in organizing internal events and providing overall organizational support.

 

Main Responsibilities

Provide logistical and administrative support to the Operations teams: meeting planning, minutes preparation, and follow-up on action items.

Manage agendas and priorities proactively in collaboration with managers and the Executive Assistant.

Assist with event logistics (team meetings, quarterly meetings, departmental meetings, corporate events, etc.), including invitations, bookings, suppliers, and materials.

Coordinate travel arrangements for external meetings and events (accommodations, flights, transportation, etc.) while ensuring efficiency and compliance with internal policies.

Perform administrative tasks with rigor, precision, and a high level of confidentiality, particularly when preparing, processing, and sharing internal documents.

Contribute to the continuous improvement of internal processes and propose practical solutions to enhance efficiency.

 

Profile

College diploma (DEC) in office administration, business administration, or a related field.

Minimum of 5 years of relevant experience in administrative support, ideally in the insurance sector or a high-volume environment.

Strong bilingual skills (French and English, spoken and written) to support operations across Canada.

Valid driver’s license required for occasional travel between our various offices, primarily at the Terrebonne office.

Excellent command of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and SharePoint.

Strong organizational skills, attention to detail, and ability to manage multiple priorities simultaneously.

Discretion, sound judgment, and exceptional attention to detail.

Ability to work under pressure and thrive in a collaborative, fast-paced environment.
