Job Summary
The Accounts Payable Administrator will play a key role in the day-to-day payables function across multiple entities, including Ottawa Senators Hockey Club, Ottawa Community Ice Partners, Belleville Senators Inc., and the Senators Community Foundation. They will be responsible for ensuring payables are accurately recorded and payments are processed on a timely basis. The successful candidate is highly detail-oriented, eager to learn, and thrives in dynamic business environments.
Main Responsibilities
Timely communication with vendors, contractors, and employees on payment status
Maintenance and update of the vendor database, including the creation of new vendors
PO tracker maintenance and coordination with operations to ensure PO completeness and accuracy
Matching invoices to POs and entry/coding of invoices, including tax amounts
Posting and reconciliation of credit card expense reports
Preparation of proposed payment runs for review and related journal entries
Preparation of electronic payments in the bank, as required
Preparation and mailing of cheque runs
Assist in refining and improving workflow and payment processes
Assist in pulling support for the annual audit
Other duties as assigned by the Manager, Accounts Payable & Receivable
Job Requirements
Post-secondary diploma in Accounting or Business Administration
Working knowledge of general accounting principles and online banking systems
Intermediate Microsoft Excel skills
Strong written and oral communication skills
Comfortable with high volume data entry
Attention to detail and accountability for the completeness and accuracy of work
Organized and able to manage own time, prioritize work, and meet deadlines
Ability to work effectively in a team and adapt quickly to a changing environment

This role falls within a base salary range of $40,100 to $61,500 annually, consistent with the organization’s established salary ranges. Salary ranges are determined through a wide variety of factors including but not limited to market data, internal equity, education, relevant experience, knowledge, and applicable skillset.
