We are seeking a detail-oriented Accounts & Administration Officer to support the finance and operations teams. This role focuses on accurate bookkeeping, accounts payable processing, payroll support, and general administrative tasks within a dynamic, trade-based business environment.
Key Responsibilities
Accounts & Bookkeeping
• Process purchase orders and supplier invoices accurately and on time (250 invoices per week).
• Reconcile company credit card transactions (50 per week).
• Ensure expenses and supplier costs are correctly coded and allocated.
• Maintain accurate financial records in accounting (Xero) and job management systems (Arrowflow).
• Support payroll processes, including manually entering timesheet data into spreadsheets for import into Xero.
• Assist with payroll preparation as required, considering complex pay structures.
• Handle day-to-day accounting and transaction processing using Xero.
Systems & Data Management
• Work efficiently within Arrowflow as the primary job management system.
• Support data updates and imports via Excel or CSV files for system integration.
• Assist with basic process improvements and maintain accurate system data.
• Ensure documentation is correctly matched, attached, and flowing through systems.
Administrative & Operational Support
• Manage shared inboxes and respond to emails as required.
• Book accommodation and travel for staff working on projects or remote jobs.
• Provide administrative support to project administrators and operational staff.
• Maintain organised digital records and support general office administration tasks.
• Assist with documenting and updating processes and procedures.
• Participate in daily check-ins via Microsoft Teams to set priorities and address questions.
• Collaborate effectively within a small, flexible office team.
• Perform other role-specific duties as required.
Requirements:
• Bachelor’s degree in Accounting, Business, Commerce, Finance, or a related discipline (desirable).
• At least 3 years of experience in accounts, bookkeeping, or administration in a small to medium-sized business.
• Practical experience processing supplier invoices, purchase orders, and expense transactions.
• Strong working knowledge of Xero accounting software.
• Experience with Arrowflow or similar job management software (e.g., Simpro) highly regarded.
• Comfortable working with Excel spreadsheets and CSV files for data entry and uploads.
• Experience supporting payroll processes, including manual timesheet handling, is desirable.
• Confident using Microsoft Teams and other standard office tools.
• Ability to work independently while maintaining close communication with the Director.
