Position Summary
The Accounting Administrator supports day-to-day accounting operations and monthly close activities by maintaining accurate financial records, processing transactions, and assisting with reconciliations and reporting. This role works closely with the Staff Accountant and leadership team to ensure timely and accurate financial data while supporting accounts payable, accounts receivable, job cost tracking, and construction reporting.
This position is ideal for a detail-oriented, execution-focused accounting professional who enjoys hands-on work, thrives in a deadline-driven environment, and is comfortable supporting accounting leadership rather than owning accounting strategy.
Essential Duties & Responsibilities
Support monthly close activities, including preparing journal entries, accruals, and supporting revenue recognition under the direction of the Controller
Maintain general ledger accuracy through account reconciliations and supporting schedules
Perform bank and credit card reconciliations, identifying and resolving discrepancies
Process accounts payable, including reviewing, coding, and entering vendor and subcontractor invoices
Support accounts receivable, including invoicing, payment tracking, and customer account maintenance
Assist with job cost tracking, ensuring costs are accurately recorded and allocated to projects
Support WIP and construction reporting by preparing schedules, validating data, and assisting with documentation
Maintain organized, audit-ready accounting files and supporting documentation
Assist with internal reporting requests and ad hoc accounting projects
Ensure compliance with company policies, internal controls, and confidentiality standards
Qualifications
Bachelor’s degree in Accounting, Finance, or a related field
3–5 years of accounting experience, preferably in construction or project-based environments
Experience supporting AP, AR, reconciliations, and general ledger maintenance
Working knowledge of GAAP fundamentals
Proficiency in Sage 100 or similar accounting systems
Strong proficiency in Microsoft Excel
High attention to detail with strong organizational and time-management skills
Ability to work independently while collaborating closely with accounting leadership
Preferred Qualifications
Construction or job-cost accounting experience
Exposure to WIP reporting or project-based financial tracking
Experience working alongside a Controller or senior accounting professional
Comfort supporting multiple entities or projects simultaneously
Position Type & Compensation
Part-Time, Contract (1099)
Approximately 20–30 hours per week, with potential to grow
Hourly compensation based on experience between $20-$30
