Your Impact
The Senior Office Manager is responsible for ensuring smooth, safe, and scalable day-to-day operations of the Vietnam office. With the workload focused on Facility Management & Office Administration—including a focus on Hard Services—this role leads all aspects of facility maintenance, compliance, vendor management, and space planning, while also own soft services in the office. The Senior Office Manager supports Program management incl. major event execution and facilitates cross-functional collaboration to deliver a high-quality, compliant, and engaging workplace.
The SOM is the strategy and ownership half of a two-person system for Facility Management and Operations: SOM thinks, decides, plans; the Office Coordinator Contractor acts, delivers, executes.
Work Location: This role is based out of our Ho Chi Minh City office and follows a hybrid schedule: onsite Tuesday through Friday and remote on Mondays, unless an approved accommodation applies. We place a high value on in-person collaboration and building a strong in-office culture.
Key Responsibilities
Hard Services (70%):
• Lead and manage office facilities including hard services, renovations, seating plans, and preventive / corrective maintenance.
• Review, improve, and implement SOPs to enhance office operations and workplace experience.
• Manage vendor relationships, service quality, and the office administration budget.
• Serve as the main liaison with building management and local authorities on facilities and EHS and OHS matters.
• Partner with Finance, People Ops, IT, Facilities, and other global / cross-functional teams to resolve operational issues.
• Manage facility capacity and project future facility demand to meet team needs on time.
• Drive, lead and supervise office refreshment / renovation / expansion, if any, from design to build-out.
Soft Services (30%):
• Strategize and manage the setup; lead change management of soft services (F&B operations, pantries, office supplies, etc.).
• Support office engagement and event logistics including venue and F&B oversight for large-scale events like VKO and Company Trip, as needed.
The Candidate
Non-negotiables
• Significant experience managing office facilities / workplace operations at a multinational, with direct ownership of hard services (MEPF, maintenance, vendor governance, EHS, renovations).

• Demonstrated budget ownership for an office of comparable scale.

• Direct experience leading a vendor portfolio (selection, SLA, QBR, escalation).
• Proficient in Vietnamese (native or near-native; required for building management, vendor, and local authority interface).
• Proficient in English (IELTS >= 7.5 or equivalent spoken / written), able to communicate clearly with global stakeholders and write crisp executive updates.
• Based in or willing to relocate to Ho Chi Minh City; on-site role.
Strongly preferred
• Experience leading at least one office refresh, renovation, or expansion project from design through build-out.
• EHS / compliance experience with Vietnamese regulations and building authorities.
• Experience running large-scale internal events (200+ people) including venue sourcing and F&B at scale.
• Experience operating in a 1+1 model with a coordinator or contractor (delegation, escalation discipline).
